A photo of finished work only helps you later if it can answer three questions on its own, without you remembering the context: where was this, when was this, and is this actually the site in question. A photo that can't answer those isn't proof of anything — it's just a picture. Here's what a defensible field photo needs, and a workflow for getting it every time without slowing down a site visit.
The five details a proof-of-work photo needs
- Coordinates — precise enough to confirm the exact location, not just "somewhere on this street."
- Date and time — establishes when the work was done or the condition was observed, which matters for disputes, warranty windows, and sequencing.
- Address or place context — coordinates alone mean little to someone reviewing the record later without cross-referencing a map; an address makes the record self-explanatory.
- GPS accuracy — a ±3m reading and a ±40m reading are very different claims about precision, and only one of them should be relied on for boundary or placement disputes.
- A note or category — what the photo is documenting, in the surveyor or inspector's own words, captured while the context is fresh rather than reconstructed from memory during report-writing.
Compass heading is a useful sixth field when orientation matters — which direction a camera was facing when photographing a defect on a specific building face, for example.
Why after-the-fact documentation falls apart
The common failure mode isn't missing photos — it's photos with none of the above, taken on a default camera app and organized in a generic camera roll. Weeks later, reconstructing which photo belongs to which site, which date, and which specific issue becomes guesswork. Multiply that by dozens of sites in a busy month and the report-writing time balloons, and mistakes creep in.
A workflow that captures everything at the moment of the visit
- Create a project per site or per job before you start, rather than sorting photos afterward.

None of this makes a photo legally binding on its own — that depends on your industry and jurisdiction. What it does is remove the most common reason field documentation fails to help when it's needed: missing or ambiguous location and timing.
